Efficient fleet management

Context: Different road works (e.g. cleaning, repairs, construction) require a variety of technical equipment. The company has more than 40 different locations, where each has a variety of technical equipment to perform the road work. Each department journals the information in Excel and according to the available information plans the work. However, the information is local and only visible to employees in that department. If the staff of another department needs additional equipment for work (e.g. there is a breakage, more capacity is needed etc)the nearest departments are called by phone and the possibility of obtaining equipment is sought. Decisions are then made as to whether such equipment is worth bringing (it may be too heavy to transport equipment over long distances) or whether it is more efficient to rent it from suppliers. It is often difficult to plan the activities of other projects because there is no visible “big-picture” of how much and what equipment will be available at what time, what need would have a reserve (due to the foreseeable circumstances).

Possible solution: Technical  vehicles management system, in which different departments could see the current and planned occupancy of all  technical equipment, reserve the necessary mechanisms from other departments. Such management tool would provide a better planning of tasks, the reserved equipment would be assigned to the relevant work according to the prepared plan. The reservation of machinery must be made according to the locations of the machinery and the execution of works, e. g. only those mechanisms that would be financially advantageous to transport to the facility would be available for reservation.  The system could collect historical data of the use of the technical equipment over time to solve different tasks. The data collected by the system should be useful in assessing the need for additional equipment.
